How to Plan an Effective Business Signage Strategy for a Multi-Storey Office Building

Most business signage projects for multi-storey office buildings start in the wrong place. Someone picks a font, chooses brand colours, and calls a sign company. Six months later, a tenant moves out, and the entire lobby directory needs to be remade. The better approach treats signage as building infrastructure – something planned with the same rigour as electrical or HVAC systems, before a single panel gets fabricated.

That shift in thinking changes every decision that follows.

Build A Signage Hierarchy From The Street Up

A multi-storey office building has at least four distinct wayfinding zones, each serving a different cognitive need. Visitors aren’t reading your lobby directory while they’re still on the footpath. They’re reading it when they’re standing in front of it, slightly confused, trying to find Suite 412.

Start by mapping the full journey: exterior monument or facade signage, the main lobby directory, elevator bank indicators, floor-level directional signs, and individual suite plaques. Each layer should answer one question and point toward the next. When signs try to answer too many questions at once, people stop reading them.

The transition between zones matters as much as the signs themselves. At every decision point – building entrance, lift lobby, corridor intersection – there should be a sign that confirms the visitor is on the right path. Architectural signage that integrates with the building’s materials and finishes helps these decision points feel deliberate rather than bolted on.

Select Materials For Durability, Not Just Appearance

The choice of materials is often the weak point of many signage strategies. On the first day, an acrylic panel will look fantastic. But given a couple of years, a turn through a high-traffic corridor, and a low-quality acrylic panel will have already started yellowing, warping, or crazing – you will soon notice that your lobby vision appears less appealing.

68% of customers believe that an enterprise’s signage directly reflects the quality of the goods or services it delivers (FedEx Office). As this rule applies to a corporate office building, it applies to every tenant with your company’s name in their directory. Low-quality materials are not merely an aesthetic issue; they are an integrity problem for any company that conducts business in the building.

The standard material for lobby signs, dimensional lettering, and directory panels is also high-grade acrylic (PMMA). Optically clear, excellent colour acceptance, and good finish retention. For exterior or high-impact signage zones, polycarbonate is a better choice because it is significantly more resistant to physical stress and does not distort with changing temperatures.

Modular sign systems offer visitor boards and tenant directories that can be readily updated by facility staff or a professional sign installer. Slide-in name plates, replaceable letter strips, or slotted panel frames allow the facility manager to make the upgrades themselves. Alternatively, a single call to the sign vendor will get the ball rolling for an installer to come on-site and update individual entries with no disruption to the rest of the board.

A digital display provides the utmost in flexibility, but there is not only a significant upfront expense, maintenance of the “always on” technology, and the unsightly presence of the digital component in a building with a sophisticated aesthetic, but these quickly add up.

Placement Is A Spatial Engineering Problem

A well-crafted sign that is positioned incorrectly will not serve its purpose. Sightlines, the unobstructed views between pedestrians and signs, determine a sign’s effectiveness.

Directional signs are most effective when installed at or above eye level at decision points. They are meant to be read from a distance so the pedestrian knows where to turn before they actually reach the turn. Suite plaques and room identification signs, however, are located at eye-level next to the door and are read at close range. Elevator exits should be among your highest-priority placement zones. If the exiting pedestrian isn’t oriented before taking their third step, you’ve lost them.

Accessibility Isn’t Optional

Physical tactile elements, Braille, high-contrast colour schemes, and sans-serif fonts are not just nice design touches – they’re mandatory in building accessibility guidelines in nearly every municipality. But, more than that, the more people who can successfully use your signs, the better the design and the greater the success of your project in its context will be.

Plan for accessibility from the start. Retrofitting tactile elements onto finished signs after an audit is expensive and usually looks like an afterthought.

A signage strategy built around hierarchy, modularity, material quality, spatial placement, and accessibility won’t need to be rebuilt every time something changes. That’s what makes it infrastructure rather than decoration.
